Care billing software: what it can do — and where it stops
Anyone billing care services in Switzerland needs software that produces the General Invoice XML to the Forum Datenaustausch standard and submits it to the health insurer. There are several good solutions, from lean documentation for a single practice to a full suite with scheduling. They all have one thing in common: their job ends with the finished invoice.
What care billing software delivers
Service recording by service type, client records and care documentation, generating the billing file in the required standard, transmission to the intermediary and hence to the health insurer, handling rejections. Larger systems also cover scheduling, duty rosters, time tracking and quality documentation.
That is a lot — and exactly right for the care operation.
Where the chain breaks
For a care system, an invoice is a result. For a business it is a single entry — and only on the receivables side. What a care system doesn't know, and doesn't need to know:
- your supplier invoices, rent, vehicle, materials, insurance
- your revenue outside the tariff — consulting, teaching, projects, household support
- the reconciliation with your bank account
- the year-end
What usually happens today
As long as these things have no common home, there is no bookkeeping, there is a pile. And that pile then goes somewhere.
It goes to the accountant. Not because that would be the best solution, but because it is the only one that comes about by itself.
That has three consequences that are rarely stated together.
It costs. Every fuel receipt is booked at an hourly rate for which there is no longer any technical reason.
It is slow. Anyone who only sees their figures after the year-end makes decisions for a whole year without a basis — and notices a missing insurer payment in spring rather than in May.
And it discloses more than necessary. When invoices are passed on as a pile, an email attachment or a cloud share, someone along the way sees things they don't need — and whoever sees a care invoice usually also sees who was visited, and how often.
The connection: from billing into real bookkeeping
CuraSovo is not billing software and doesn't want to become it. CuraSovo is the link in between: it reads the billing file your system produces anyway and creates the entries in your bexio accounting from it — with the contact, the revenue account and a link back to the document in your care system.
From then on your care no longer stands alone:
- you photograph receipts for everything outside care with the bexio Go app and the amounts are read automatically
- supplier invoices that arrive by email go straight into processing
- bexio pulls in the bank movements and matches them against your invoices
- paper and media breaks disappear — there is no folder left to drive anywhere
And your accountant?
The result is double-entry bookkeeping that is complete and belongs to you.
They stay — just in a different place. For the year-end, for taxes, for the questions where you need someone. No longer for data entry.
They get access to the same books and see everything they need for their work there. Treatment details, diagnoses and information that would point to an illness they do not see — none of it is there in the first place.
And when the requirements grow
They are growing already. The statistics on help and care at home are mandatory, including for self-employed nurses. Municipalities check residual-cost statements. The financial manual requires cost and performance accounting.
All of this proof assumes figures are available on time and in structured form — not only next spring.
